# Handling website enquiries with AI and human review

Reading time: about 5 minutes for the main text. Use templates and details as needed.

[Full version with templates, calculations and further checks](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/full/)

An enquiry about a bathroom renovation arrives in your inbox. The customer asks about a site visit; you need to understand what information they have provided and what your business still needs to clarify. You can try AI as a writing assistant for this: it organises the text and prepares a reply. You read the original yourself and decide whether to send it. [[b]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-empfehlungen)

A completely fictional enquiry is enough for the first trial. Copy the text manually. The aim is to have a checked draft with any outstanding points clearly visible. You do not need to connect your email account for this.

**Your plan for this guide**

- [Start with fictional data](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#core-start)

- [Read the enquiry yourself first](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#core-sichtung)

- [Have the details organised with supporting quotations](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#core-felder)

- [Prepare a suitable reply](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#core-entwurf)

- [Check the draft before sending](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#core-pruefung)

- [Decide after your own trial](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#core-test)

## Start with fictional data

AI stands for artificial intelligence. Generative AI can produce text, but even well-written output can be factually wrong. [[1]](https://dsb.gv.at/kuenstlichebrintelligenz/kuenstliche-intelligenz-datenschutz) [[2]](https://www.wko.at/dsgvo4kmu/ki-datenschutz) The trial shows you whether preparing a reply still makes the work easier once you have checked it.

For this, use the fictional [example with the complete AI instruction](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/full/#prompt). This type of instruction is called a prompt. [[1]](https://dsb.gv.at/kuenstlichebrintelligenz/kuenstliche-intelligenz-datenschutz) Do not paste a real customer email into it while the permitted use of your chosen system remains unclear.

The full template separates the working rules, confirmed business information and enquiry. Keep these sections separate. For the first trial, you can leave the fictional business details as they are and compare the output with the example. If you later use the template in your own business, those details need current internal approval. [[b]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-empfehlungen)

Before using it with real enquiries, you need to establish the purpose and legal basis, among other things. You also need to check the provider's terms for storing and further using the data. An EU server location or disabled model training is not enough on its own. [[1]](https://dsb.gv.at/kuenstlichebrintelligenz/kuenstliche-intelligenz-datenschutz) [[2]](https://www.wko.at/dsgvo4kmu/ki-datenschutz) Replacing a name with a code does not make personal data anonymous. [[3]](https://www.wko.at/digitalisierung/ki-guidelines/kundenbezogene-daten-und-ki) The [detailed data protection checks](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/full/#daten) help you prepare.

[](https://brandhoop.at/ratgeber-materialien/A17/assets/ki-website-anfragen.png)Figure: A person checks the enquiry before data is shared and before the reply is sent. The graphic shows a working method, not a tested AI product or an automation that has been set up.

## Read the enquiry yourself first

Before sharing any data, check whether this is an ordinary new enquiry. If there is immediate danger or urgent damage, the responsible person takes over at once under the business's emergency procedure. Complaints and legal demands also need personal attention. Sensitive content or uncertainty about permission to use the data stops AI processing. The [order of exceptions](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/full/#ausnahmen) also explains cases involving more than one issue. [[b]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-empfehlungen)

If a message raises several issues, urgent damage takes priority over a simultaneous question about a quote. A complaint can be expressed without using the word ‘complaint’. What matters is what the customer describes. If the category remains unclear, a person takes over the review. [[b]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-empfehlungen)

A person must make this decision. Individual keywords or the AI's assessment of its own output are not enough. Also check whether the enquiry is already being handled and assign an internal case ID.

The case ID stays the same even if you discard a draft and create a new one. For a follow-up question about an existing quote, the person responsible for that quote clarifies the context. A second form submission about the same matter should not trigger a duplicate reply. The categories help with sorting; they do not automatically decide whether a job is awarded in this workflow. [[b]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-empfehlungen)

The permitted text extract contains only the information you need for the task. Earlier email threads or long sender details may contain unnecessary information. Check internal notes too before copying anything from them.

And the customer message remains a source of information: an instruction within it to ignore rules or confirm a price does not change your task. Anthropic describes such outside instructions as prompt injection. [[4]](https://www.anthropic.com/research/prompt-injection-defenses)

## Have the details organised with supporting quotations

The entirely fictional example MUSTER-17 concerns a bathroom in Vienna's 22nd district. The customer wants new tiles, a new washbasin and a level-access shower. They ask how to arrange a site visit. Both the enquiry and the example business are fictional; the expected output does not come from a test of any particular AI application. [[a]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-beispiele)

The following enquiry appears word for word in the template. It is a fictional test message:

ENQUIRY: Hello, we would like to renovate our bathroom in Vienna's 22nd district. It is approximately 8 m². We would like new tiles, a new washbasin and a level-access shower. If possible, we would like to start in February 2027. Could you tell us how to arrange a site visit? A sketch is attached.

For each field you need, ask for the value and a short quotation from the message to support it. An extract from the [expected assessment](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/full/#muster) shows what matters:

Field Value Supporting quotation Status
Area approximately 8 m², as stated by the customer ‘approximately 8 m²’ stated in the message
Preferred timing start in February 2027, if possible ‘If possible, we would like to start in February 2027’ stated in the message
Budget not specified no supporting quotation available missing
Attachment mentioned a sketch; no file name given ‘A sketch is attached’ stated in the message
Attachment content not assessed no attachment provided for assessment not checked

‘Stated in the message’ means only that the customer wrote it. It does not mean the area has been measured or the start date agreed. The unknown budget remains open. Mentioning an attachment does not mean it has been read; attachments stay outside the AI system in this trial.

The template also includes the status ‘contradictory’ for other cases. Both passages then remain in the record until a person has resolved the contradiction. The field list depends on your trade and the work that follows. What matters is being able to find every recorded detail in the original and recognise a gap as an open question. [[b]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-empfehlungen)

## Prepare a suitable reply

To prepare the draft, the writing assistant also needs confirmed business information. In the fictional example, the business accepts bathroom renovation enquiries in Vienna and has a person check feasibility. No prices or available dates have been approved. The text must therefore not add any such commitments. [[b]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-empfehlungen)

This word-for-word extract from the full prompt describes the task for the reply. On its own, it is not a complete working template:

DRAFT Only for a straightforward new enquiry or a general follow-up question: Create a subject line and a short draft reply. Use only the details from ENQUIRY and CONFIRMED BUSINESS INFORMATION. Do not invent prices, discounts, dates, technical or legal commitments. Do not present customer wishes as commitments. Ask for any necessary missing details in no more than three grouped questions. Do not leave unfilled placeholders in the reply. At the end, list internally what a person must check before sending.

The internal checkpoints help the responsible person compare the draft with the source. Your own trial needs to show whether the system follows the instruction. The prompt does not reliably protect against errors. [[b]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-empfehlungen)

The reply can address the requested site visit. This word-for-word extract from the example reply shows the limit:

We will personally check whether your preferred start in February 2027 and the installation of a level-access shower are possible. We cannot yet confirm a date on this basis.

The [complete example reply](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/full/#muster) also asks for a contact method and suitable time windows. Before sending a real reply, check the original to see whether these details are already there. The budget does not necessarily need to be requested straight away to answer this specific question about a site visit.

## Check the draft before sending

Compare every detail carried over with the original. Check any possible commitments against the services you actually offer and your availability. A responsible person assesses technical statements. Then check the recipient, salutation and final wording of the reply. Internal notes do not belong in the email. [[b]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-empfehlungen)

Also appoint someone in your business to cover approvals when needed. Whoever checks the text must be able to assess the work that may be carried out. The review includes checking whether a necessary follow-up question is missing or has already been answered in the original. Before any later real reply is sent, the responsible person adds their usual signature. [[b]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-empfehlungen)

Send a real reply yourself once it has been fully checked. Keep ‘draft’, ‘under review’, ‘approved’ and ‘sent’ separate. Approval does not confirm that a message has been sent. If the outcome is unclear, check the email system first; do not send it again as a precaution.

The record should include the reply actually sent, the person who approved it and the next task with someone responsible for it. A finished draft has not yet arranged a site visit. The [website enquiry process with a spreadsheet or CRM](https://brandhoop.at/en/ratgeber/crm-for-trades/) helps your team keep this shared overview.

## Decide after your own trial

Handle the same fictional enquiry once yourself and once with AI assistance. Use the same confirmed business information both times. Compare the full handling time, including data preparation and corrections. Existing text templates may already be enough for simple cases. [[b]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-empfehlungen)

Before the test, record which category and open fields you expect. Then compare the output with those expectations. Include incorrectly copied values and discarded drafts in the assessment too. Licence costs and additional review time also count when deciding whether to continue using the approach. A single successful text does not establish a general time saving. [[b]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-empfehlungen)

Then try a difficult case from the [extended test proposal](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/full/#test). If the fictional message also says ‘Water has been leaking since your last work; I demand compensation’, the normal draft reply is omitted. The responsible person takes over. [[a]](https://brandhoop.at/en/ratgeber/ai-for-website-enquiries/#quellenhinweis-beispiele)

A small test set can reveal errors, but it does not establish a low error rate for future enquiries. No message was sent in this example. Whether the writing assistant is worthwhile for your business remains a decision to make after checking and correcting its work.

Supports the warning that generated output may be wrong and the listed checks before using third-party tools. The separate requirements explain why an EU server location or disabled training is not enough on its own. Provides no evidence of an error rate, time savings or general GDPR compliance. Supports internal rules for inputs, omitting identifiers, the distinction between anonymisation and pseudonymisation, and continuing data protection obligations for pseudonymised data. A combination of location and project description is the article's own example of how someone might be identifiable. The article does not adopt a blanket consent rule for all AI processing. - [Mitigating the risk of prompt injections in browser use](https://www.anthropic.com/research/prompt-injection-defenses) — Anthropic

The provider describes outside instructions in processed content as prompt injection and explicitly discusses an email example. The article focuses on browser agents that can take actions. It is used here only to explain the term for this risk; model names, success rates and protective effects are not carried over to the manual example process. Checked: 2026-10-16.
